Vendor Code of Conduct

Kapsule expects all vendors to uphold professional standards. By following this Code of Conduct, you protect your account, strengthen customer trust, and help the store remain a reliable place to shop.

Service Standards

  • Dispatch all orders by the required deadlines.

  • Upload valid tracking details for every parcel.

  • Respond promptly when Kapsule requests information.

  • Ensure all items are packed safely and presented well.

Missing dispatch deadlines or ignoring requests may affect your performance metrics and could lead to account suspension.

Product Standards

  • List only genuine, safe, and compliant products.

  • Do not list prohibited or restricted products without approval.

  • Ensure descriptions and images accurately represent the item.

  • Use NZ English, metric measurements, and clear titles.

Warning
Counterfeit or unsafe goods will be removed immediately, and repeated breaches may result in permanent suspension.

Pricing & Promotions

  • Prices must be clear, fair, and reflect real value.

  • GST must be included if you are registered.

  • Do not use misleading discounts or inflated RRPs.

  • Promotions must comply with Kapsule’s marketing rules.

False or misleading pricing may breach the Fair Trading Act.

Customer Care

  • Never contact customers directly outside of Kapsule.

  • Provide accurate information to Kapsule when issues arise.

  • Accept valid returns and process refunds quickly.

  • Treat customers with respect and professionalism.

Info
All customer-facing communication is managed by Kapsule. Vendors only reply through the portal when asked for details.

  • Follow New Zealand laws including the Consumer Guarantees Act and Fair Trading Act.

  • Respect intellectual property and avoid using other brands’ assets without permission.

  • Ensure items meet product safety standards, especially for children’s products, electronics, and cosmetics.

Honesty and accuracy in every listing protect both your brand and Kapsule’s reputation.

Respect & Integrity

  • Engage respectfully with the Kapsule team and other vendors.

  • Do not attempt to manipulate reviews or performance metrics.

  • Avoid off-platform solicitation of customers.

Idea
Think long-term — building trust and positive reviews will grow your store faster than short-term shortcuts.

Consequences of Breaches

  • Warnings for minor issues.

  • Temporary suspension for repeated or serious breaches.

  • Permanent account closure for counterfeit goods, fraud, or unsafe practices.

Alert
Kapsule reserves the right to remove listings or suspend accounts immediately in serious cases.
