Data Protection & Privacy

What data vendors can access

As a vendor, you will have access to certain types of customer data:
  • Customer name and contact details for order fulfilment.
  • Delivery address and shipping information.
  • Order details (e.g., items purchased, quantities, payment status).

Warning
You may only use customer information to process and dispatch orders or resolve customer service issues. Any other use is prohibited.

Prohibited uses of customer data

  • Adding customers to your own mailing list without explicit consent.
  • Sharing, selling, or disclosing customer information to third parties.
  • Using data to market products or services outside of Kapsule.
  • Retaining customer data beyond what is necessary for order fulfilment.

Alert
Breaching data protection rules may result in penalties, including suspension or permanent account closure.

How to handle customer data responsibly

  1. Access securely

    • Always use secure networks and devices when handling order details.

  2. Store safely

    • Do not print or store customer data unnecessarily.

    • If storage is required, ensure it is encrypted and password-protected.

  3. Dispose responsibly

    • Delete or anonymise customer data once it is no longer needed.

  4. Communicate only through Kapsule

    • All messages must be sent via Kapsule’s official communication tools.

Info
Customers must never be contacted directly via personal email, phone, or social media unless specifically authorised by Kapsule.

Vendor best practices

  • Train staff on data protection policies.
  • Regularly review your order management processes for compliance.
  • Keep your devices updated with the latest security patches.
  • Report any suspected data breach to Kapsule immediately.

Idea
Build customer trust by clearly communicating how you protect their information — for example, adding a note in your store bio about your commitment to data security.

FAQs

1. Can I use customer data for my own marketing campaigns?

2. How long can I keep customer details after an order?

Only as long as necessary to resolve fulfilment or returns. Data must then be deleted or anonymised.

Yes, but only for order processing purposes and with proper safeguards in place. Data must not be used for off-platform marketing.

4. What should I do if I suspect a data breach?

Notify Kapsule immediately and take steps to secure your systems. Vendors are responsible for protecting the data they handle.

5. Does Kapsule share my personal data as a vendor?
